Instructions for the Authors and Presenters

Paper acceptance.

If you submitted an abstract and were identified as the corresponding author on your submission, you should have received communication from the Conference Technical Chair, Prof. James Chen, on your submission acceptance. If you did not, please contact him at chenjm@buffalo.edu as soon as possible. If one of your coauthors should be considered the corresponding author, please let Prof. Chen know no later than May 25, 2022.

Registration is mandatory regardless of the form of your presentation.

At least one author of each paper must register to attend the 2022 Joint Conference on Electrostatics prior to submitting the manuscript.  Please use the following link to complete your registration:


Hotel reservations: Please use the conference hotel (Hilton Charlotte University Place) for the conference stay. This helps the conference organizers with keeping the meeting cost down. The negotiated hotel lodging rate per night is 119 USD. The hotel reservation cut-off date is May 23, 2022. After that date the hotel cannot guarantee that you will be able to book a room or that the hotel will be able to offer you the negotiated rate.

If you need a visa to travel to the United States, you can request a formal invitation letter from the Conference Chair, Prof. Maciej Noras at mnoras@uncc.edu. Please start your visa application process immediately.

Paper preparation.

You have an option to submit a full manuscript for the conference. It will be posted on the conference website. Note that the full paper submission is not mandatory. If you decide to not to submit the full manuscript, the previously submitted abstract will be posted as the conference record. All manuscripts must be submitted to the Conference Chair, Prof. James Chen at ESA_Sub.k78qi2hze9sjezp0@u.box.com by May 31, 2022. If you elected to submit your abstract under consideration of the IEEE IAS Electrostatic Processes Committee (EPC), your conference paper is being handled by the EPC and you will be receiving separate communication from Maciej Noras (mnoras@uncc.edu). The draft paper you submitted will be posted on the conference record webpage.

Poster preparation.

If you are preparing a poster presentation, the space you have available for your poster is 48 inches by 36 inches (121 cm by 91 cm). The poster boards, easels and thumbtacks will be provided.

Oral presentation preparation.

The allotted time for a keynote presentation is 30 min, for the regular presentation it is 15 min. This includes questions and answers time. Please plan your presentation length accordingly.

We are going to use MS PowerPoint for the presentations. Please make sure that your electronic file is compatible.

In-person oral presentations: We will be using the conference’s laptop to run the presentations. This is needed to accommodate the online audience. Please have your presentation available on an USB thumb drive for uploading to the conference laptop.

Online oral presentations: The conference will use Zoom Webinar platform to broadcast the presentations to the online conference participants. You are expected to conduct your oral presentation using Zoom. We will have a Zoom practice session during the week preceding the conference, you will receive the information via email, and it will also be posted on this webpage.

All authors who are presenting online are required to provide a pre-recorded, narrated video of the presentation in mp4 format. This precaution is made to be sure that your presentation will be delivered as scheduled if we have any internet connection issues. In case your presentation is played from an mp4 file, you are still requested to be available for questions and answers part of your allotted presentation time.
